Link Pdf To Excel Cell

Microsoft Excel allows us to represent data in a uniform way. We can show complex data in the form of charts or tabular format. Suppose, you have a list of products that you want to share along with the product description and specifications. Then using Excel would be a great help. Thinking how it can be done? Let me tell you that. Say, you have the details of the product in a PDF File, and then having the product names in one column and the respective PDF files in another column would solve the problem. So, in this article, I will let you know how to insert a PDF File in an Excel sheet.

In the Excel desktop application, to select a cell that contains a hyperlink without jumping to the hyperlink destination, click the cell and hold the mouse button until the pointer becomes a cross, then release the mouse button. Insert PDF File in Excel Sheet

Go to the ‘Insert’ tab and under ‘Text’ group click on ‘Object’. You will see an ‘Object’ dialog box being opened.

In the ‘Object’ dialog box, under ‘Create New’ tab select Adobe Acrobat Document from ‘Object type’ dropdown. You need to have Adobe Acrobat installed on your system to see it on the list.

You will see all other installed software which would help you to open and read PDF files. Make sure that you check the option ‘Display as icon’.

Click Ok and this would open the dialog box. Select the PDF File which you want to insert in an Excel and click ‘Open’. This will open the PDF file by default and you need to close it.

Now, the PDF File has been inserted into an Excel sheet as an object similar to a chart or any shape. We can drag it or resize it as we want. Repeat same steps to insert more PDF files into the sheet.

Adjust the inserted PDF File with the Cell

Resize the PDF File such that it fits in the cell perfectly. You can see that inserted PDF file does not hide, sort or filter with the cells. But there is a way to make sure it gets adjusted with cells.

Right-click on the inserted PDF File and select ‘Format Object’. If you have multiple PDF Files, then select all files, right-click and select Format Object.

The Format Object dialog box gets opened. Select ‘Properties’ tab and select the option ‘Move and size with cells’. Click ‘Ok’.

Now, if you filter, sort or hide cells, then the PDF File will also do the same.

Rename the Inserted PDF File

If you see, inserted PDF File has the default name as ‘Adobe Acrobat Document’. Serial port communication program. You can give the required name to the PDF file.

To rename the file, right click on the PDF File and select ‘Convert’ option.

In the Convert dialog box click ‘Change Icon’.

In the ‘Caption’ text box, give the name you want to give to the inserted PDF File and click ‘Ok’.

Inserting a PDF Into Excel

In the Excel file, head over to the “Insert” tab and then click the “Object” button.

In the Object window that appears, switch to the “Create from File” tab and then click “Browse.”

Browse to the location of your file, select the file, and then click “Open.”

Back at the “Object” window, you’ll see the file path of your PDF. Now, you need to tell Excel how you want the file to appear in the spreadsheet. There are a few different options here. If you select “OK” without taking any further action in the “Object” window, the PDF file appears in Excel showing the contents of the PDF in its entirety.

Alternatively, you can check the box next to “Display as icon” for a less intrusive option. This method, as the name suggests, inserts an icon that represents the contents of your file. Double-clicking the icon opens the file in your computer’s default PDF viewer.

Another solution would be to check the “Link to file” option. This option, as with the others, places the content of your PDF into Excel. The difference here is that it creates a link to the source file, making it a live document. Any changes to the source file would be reflected in your document.

Also keep in mind that you can select both the “Link to file” and “Display as icon” options, creating a less intrusive method of accessing a live document.

Once you’ve selected the option that works best for you, click “OK.”

Your PDF will now be inserted into Excel as an icon.

You’ll notice that once inserted, the PDF takes on an “In front of text” layout style and hovers above the cells. If you want to anchor the PDF to (and format with) a specific cell, then right-click the icon and select “Format Object” from the drop-down menu.

The “Format Object” window will now appear. There are several different things you can do here, including changing the size and color, cropping, and even adding alt text to the object. What we’re particularly interested in here, though, is object positioning.

First, select the “Properties” tab. You’ll find a few options concerning the positioning of the object. Here, select “Move and size with cells” and then click “OK.”

Note: If you don’t want the icon to appear in the printed version of the sheet, untick the “Print object” checkbox.

Now any changes made to the cell, including hiding or resizing, will also apply to the icon.

Repeat these steps to insert multiple PDF files in your Excel sheet.
